Attendance is attached. Chair Gary opened the meeting with a verse from 2 Corinthians, a reading, and prayer. We have a quorum. Review of previous meeting minutes, then a call for corrections. Two misspelled names (Lynette and Tim) were noted. With those corrections, Gary moved the minutes be accepted as read. Additions to the Agenda; under Staff Reports will be more. STAFF REPORTS Sr. Minister – Tim Bobbitt Welcomed new Board members; Chuck (Youth), Jayne (Diaconate), and Charlotte (CWF), (and Von, Worship). Jayne and Von are filling in for the Galindos, since they’ve moved out of state. September 23; during fellowship after the church service will be a special time to honor the Galindo’s service to our church. |

September 23; during fellowship after the church service will be a special time to honor the Galindo’s
service to our church. Germaine (Music Director) has retired, and Ruth (organist) has resigned; Ruth will be here through the end of September. Sept 30; celebration of Ruth’s service to the church during fellowship after the church service. Tim expressed appreciation to all who are volunteering to help with the music program until we get a new Music Director and organist, and all those who do help with all the music (Bell, Praise, Chancel, organist, etc.) Next Wednesday, Wednesday Night Fellowship returns. A Ministers’ Cabinet meeting would be the following Wednesday night. It was decided not to have a Ministers’ Cabinet meeting in October. Tim gave thanks to all who preached in his absences (whether church or family related). In October, Tim would like to do a combined Sunday school on the trip to Venezuela. This year (with the school year) we hope to focus on prayer and study; growing in faith. Assoc. Minister – fester Prose The Youth group has had their kick off. Last week he attended a meeting to help plan the Youth portion of Regional Assembly. He will be attending the Men’s Retreat the 21 – 23. Preschool – Lynette Scheid - Attached Enrolled are 47 children; 19 are new families, and four are church member families. United Way grant was awarded (and next year the Preschool is ear marked for funds). Request from Preschool to United Way is attached. Will show breakdown of the way the grant was spent. Updated yearly budget will be e-mailed out. They are grateful for the various funding, including church / member donations. November 9; Chili Supper Silent Auction; looking for donations. Discussion: with the change in the financial structure, Preschool pay is a month behind. (The church pays the Preschool payroll, and then the Preschool pays the church.) Over the summer, the Preschool owes the church money, approximately $4000. To help the situation, Lynette took a pay cut, and worked less hours. Last year was also very challenging for a variety of reasons. The Preschool plan is to build a reserve, through fundraisers, donations. As a Board, we need to be aware of the financial situation. We do consider the Preschool an outreach. The Preschool will approach the Trustees when the funds are too low (mostly late in the school year), and with the Minister and Board Chair, will work together for a solution to then be brought to the Board. We support the Preschool, and are likely willing to allow them to carry over the summer some funds; need to be clear as to how much and how long, etc. This Sunday is Preschool Sunday. FINANCIAL REPORTS – Vicki Sears Financial reports include updated balance sheet information. Pledge income $10,000 behind at the end of August (this grew over July and August, perhaps due to general economy, summer, etc). Due to no quorum at the last meeting, the Financial report was not approved. Gary moved to accept the June Financial statements as printed, with the questions answered tonight. Gary moved to accept the August Financial statements as printed. Discussion: Under fixed assets, is Preschool equipment considered? No, and it is noted we need to add a separate line, listing the asset of the Preschool property. OLD BUSINESS By Laws Ministries Cabinet name and member makeup proposal (attached). Cabinet has different goals than the Board (Cabinet is more planning; program, communication, calendar, with discussions and no voting). The proposed By Laws change is at the top of the attachment, the present By Laws are on the bottom. Add Preschool under section A. Motion to accept the proposal, with the word ‘Preschool’ added, made by Vicki, Connie seconded, and the motion passed. Preschool Grant The minutes from the July Board meeting reflect the approval of the acceptance of the $5,458 United Way grant. (Grant specifies Preschool must spend money on exactly what grant says, allow a person from United Way to come in and see the Preschool, and do the paperwork.) We affirm the consensus of the July Board meeting, the acceptance of the contract between United Way and the Preschool; motion made by David, seconded by Kris, and the motion passed. MINISTRY REPORTS Membership – Debbie Berg WNF Need a volunteer leader for an elementary school age kids group; games would be fine. Next week there will not be any activities as Mission trip highlights will be presented. Need a volunteer cook for one night. Outreach – Dwaine Kurtz Reconciliation Offering; envelopes sent out, please give. September 22; Katrina mission trip spaghetti feed (Fireside Church donating this). Please support, and think about volunteering to help with the meal, or think bigger, and go on the mission trip (43 signed up so far, only two from this church, some Navajo). You do pay your own way down and back, no equipment is taken, don’t have to be a carpenter or have special skills, can stay barracks style at a church, and there is a cook. The money donated is only for supplies, building supplies, etc. (golf tournament raised +$4,000). Tickets are being sold after church service. October 6; Crop Walk Fights hunger, start is at Immanuel Lutheran, Glenmere Park. Property – Roger Harbert Fountain is complete and running, very soothing; thanks to Gary, Sam and Dale. Volunteers painted three Preschool rooms, with donated paint. Nursery complete with a mural, which is fantastic. Don Crewdson donated a pull trailer; we didn’t find the title, so paperwork for a new title is now completed, and it will be here soon. Staff Relations – Connie Davis With Germaine’s retirement, and Ruth’s resignation, will need to conduct searches. The Staff Relations search group has expanded, adding Milt Hollingshead and Gretchen Howland (Chris Coon, Connie Davis, and Von Prichard are on the search committee). For the immediate future, three ladies are helping; Gretchen Howland, Carol Hypes, and Gerre Tjardes. The plan is to hire an interim, for a part-time, 10-hour position (lead chancel choir). This will allow time for the committee to look at the job description, take into consideration the vision of our church, then proceed. We have contacts at UNC, Chorale, maybe schools, and will have a basic job description done and distributed, limitedly. Also, looking for an organist, (rehearse with the choir and play the organ). Welcome thoughts or suggestions. Time frame; a month or two of volunteers, who are flexible for the short-term. Interim time frame is open. Stewardship – Jodi Hartmann Fast approaching fall Stewardship campaign, which will be similar to last year’s. October 21, Rod Witte will be our Stewardship Sunday speaker, with only one service that day. He was involved in his church’s innovative program to help recover from a shortfall. Chairs of all functioning ministries will be asked to speak on their budget. Wellness Challenge will continue through the end of the year; may need to emphasize again (due to small lag), and to keep everyone informed. Plan the budget you need, carefully. Over $3,000 came in from the Wellness Challenge. Over $1,000 in burrito, before expenses. Jodi gave statistics regarding churches, their size, per capita attendance, giving, and outreach. We have room for improvement. Trustees – Jim Thomas The house just east of the church is sale, ($153,000 asking price has been reduced twice). Discussion: is this in our future plans, do we have an interest in buying (may be able to purchase it for $145,000), what would we do with it, would renting it out cover the payments, who would administer it (firms charge about 10% to administer), house is 4 bedroom (would rent for about $1000 /month), zoning, church property possible change, or residential as rental, concern regarding the taxes, parsonage or church house, then housing allowance, unrelated taxable income if rented? Jim was encouraged to get information, and volunteered to e-mail everyone on the Board. Worship – Tim for Von Back to 8:15 service and 10:30 service. This Sunday is a Preschool celebration, plus SAVI volunteers are receiving a plaque from Maplewood Middle School, for their volunteer work, and need an Outreach representative at the service. On October 14th we will have a guest preacher, David Vargas, President of Overseas Ministries. He is giving a workshop in Cheyenne; we are encouraged to attend. Time to start planning Advent. Youth Ministries – Chuck Walker Planning Corn Maze visit in October (perhaps with Loveland and Heart of the Rockies). October 26 – 28; CYF Fall Retreat Sponsors will be meeting to plan the rest of the semester. Do need some sponsors for younger aged groups; if this interests you, speak with fester or Chuck. The youngest age group is small. fester is working on creating good rosters; give him names of people you may know who are not on the roster. Concerns Angie Fry diagnosed with ALS. Margaret Schafer is in critical condition in the hospital Back surgeries; Norma Hammonds, Jim Thomas, Marilyn Lesser, all doing well. Tim received many comments about how loving and caring our congregation is in difficult times. Be aware of new people in building; be helpful and BE NICE. Remember our military, those in harms way, those wounded, and their families. HP, 150 people were laid off. Celebrate Kurtz’s grandchild, 2 ½ year old Ethiopian girl, is now with her new family.
